Our GDPR policy

GDPR (General Data Protection Regulations) ensure information organisations store about you is done so with your permission, is used in a way you are happy about, and can be destroyed upon your request.

To meet of GDPR requirements we need to let you know:

  • What information we store about you
  • What we use that information for
  • Who has access to your information
  • How we store the information
  • How you can request to see a copy of the information we store about you
  • How your can request us to destroy the information we store about you
  • When we will destroy the information we store about you if you do not regularly renew your permission for us to store it

What information we store about you and what we use it for

  • Your name, your subscription payment and the date you joined so we know who you are and our Treasurer can generate accurate, auditable accounts.
  • If you provide your email address you will receive news updates (no more than once a month), and up to two reminders when it is time to renew your membership,

Who has access to your information and how we store it

  • The Friends of Ventnor Library and Ventnor Library staff will have access to your information.
  • Every year you will be asked to complete and sign membership form which confirms your permission to store your information. These forms will be stored safely in the library.
  • We will also store the information from these forms on a spreadsheet in a secure area for the Treasurer’s reference.
  • If you provide your email address we will use a GDPR compliant email marketing tool to store your name and emails address and to add you to the news update and reminder lists as required. We currently use sendinblue.

How you can request to see a copy of the information we store about you

  • You can view a copy of your membership form by bringing proof of ID to the library.

How you can request us to destroy the information we store about you

  • You can ask us to destroy all the information we store about you by bringing proof of ID to the library.

When we will destroy the information we store about you if you do not regularly renew your permission for us to store it

  • If you do not renew your permission for us to store your information we will permanently destroy it on the 1st March on the year after your last active membership.
  • This is why we will send you up to two requests to rejoin us. We would really like you to!
